RENTAL AGREEMENT

RESERVATION POLICY was created to insure that all reservations are valid and we will not have rooms held for people who do not have definite or firm plans.

The time to place your reservations is after you have all the necessary information and know your vacation dates. You can call us at 1 (800) 603-7963 to make your reservations. Holidays & Special Events may have a 3 - 7 night minimum. 

Reservations may be made up to 1yr in advance. The day you make your reservations, your deposit is due either by a credit card (Visa, Mastercard, Discover, American Express) or you have 10 days to mail in a check or money order. We accept Traveler’s checks and Paypal also. The deposit is half of the total amount with the balance due at check-in. One day stays require payment in full at the time of reservation. No personal checks will be taken less than 21 days of your arrival date. There will be a $25 service charge for any returned check.

CANCELLATION POLICY  Due to holding these accommodations and in consideration of the fact that we did not rent this unit or these dates to others, we cannot return any payments unless you cancel within two weeks (14 days) of making your reservation. Administration fee of $25.00 will be deducted from the deposit amount. If you cancel after the 14 days, you forfeit all monies. No refund will be issued if the check-in date is less than 30 days from the reservation date.

RESCHEDULING  If you need to reschedule your reservations, it must be done greater then 14 days before your arrival date and you will only be charged a $15.00 transfer fee. Any changes that are made to your reservations will be a $15.00 administrative fee. You can reschedule for up to 1yr from the date of the original reservation. Rescheduling will be subject to availability, rates and policies in effect. Your deposit will be applied to the rescheduled reservation.

CLEANING FEE  All of our units have a cleaning fee, which in non-refundable. This fee is for sterilizing the hot tubs, Jacuzzi's, bathrooms, bed linens, floors and kitchens.

RESTRICTIONS:

NO PETS (Unless prior approval by GATLINBURG VILLAGE)

NO HOUSE PARTIES

NO FIREARMS AND/OR FIREWORKS ARE PERMITTED ON PREMISES

ANYONE not complying with the above will be asked to leave without a refund

TERMS

1.            CHECK-IN time is anytime after 4:00 PM till 9:00 PM (Planning a later arrival please notify the office). Check in is guaranteed by 4:00 PM, but if the unit is ready earlier, then you will be permitted to check in early. All late check-ins will be put in the black mailbox next to our front door.

2.            CHECK-OUT time is 11:00 AM (Guests not departing on time will be subject to an ADDITIONAL DAY CHARGE)

3.         These accommodations are privately owned dwellings with the Owner's furnishings and neither the Agent nor the Owner shall be responsible for providing any additional furnishings. Some owners have locked closets containing personal belongings. These are not included in the rental of the accommodation.

4.         Agent or an authorized employee or repairman may enter the unit for any purpose connected with repair, care or maintenance of the accommodation.

5.         As agents, we reserve the right to refuse, admittance and/or discontinue occupancy if, in our opinion, same as detrimental to the accommodation.

6.         Should the accommodation be undergoing any major repairs, or the owner of the accommodation elects to remove his property from GATLINBURG VILLAGE'S management, the Agency may substitute an accommodation at the original price if such an accommodation is open.

7.         The management will not be responsible for accidents or injury of any kind to Guests or for loss of money, jewelry, or valuables of any kind. We at GATLINBURG VILLAGE are not responsible for items left in accommodations by Guests. For all the accommodations located on or near the river, pond, or lake the renter or renters swim or participate in any other water activities at their own risk.

8.         All of our rentals are equipped with fresh linens for your stay. We do not have daily housekeeping for our rentals and ask that should you need more linen during your stay that you wash them using the washer and dryer in the unit. For units without washer and dryers we will supply more linens to accommodate these guest.

9.         Only the INITIAL paper products and soap products are provided for each accommodation. You will want to bring charcoal for the grill, firewood, or soap for the washer, if one is provided in you accommodation.

10.       NO REFUNDS due to weather conditions. Chains and 4 wheel drive recommended in the winter. NO REFUNDS for early departures FOR ANY REASON. 

11.       A minimum of $100.00 will be charged for excessive cleaning. Charges to your card may include, but are not limited to, damages over and above normal wear and tear, theft, excessive cleanup, unreturned keys, and unwarranted service calls. The Guest also agrees that he/she will be financially responsible for any damage to the accommodation or the furnishings or any of the contents of the accommodation during their stay. The Guest agrees to replace or pay for any loss, breakage or damage to the accommodation to the entire satisfaction of the owner or his agents. Charge card will be used for damage security.

12.       Please report any inoperative equipment to the office immediately. We will make every reasonable effort to have the problem corrected. UNDER NO CIRCUMSTANCES WILL THERE BE ANY REDUCTION OF RENT OR REFUND FOR ANY MECHANICAL FAILURES.

13.            MINORS must be accompanied by adults 21 yrs or older.

14.       When using hot tubs, pools, Saunas and Spas, please remember there are certain health risk that is associated with these facilities. It is the responsibility of the registered guest to inform anyone using these facilities during the term on the stay of the potential hazards. Excessive cleaning of hot tubs due to oils, soaps, candles or other damaging materials will result in a cleaning fee of $50

15.       All of our units have normal telephone service, you must use a calling card or 1-800-COLLECT to make long distance calls. All local calls are free. In order to use Internet service, your Internet provider must have local Knoxville area access numbers. Please check with your Internet provider prior to leaving home.

16.       Most of our units have either gas burning fireplaces or wood burning. All fireplaces are useable from October to the first of April. No foreign materials are to be burned in gas fireplaces.

17.       While all units are sprayed monthly by a professional pest control company, wasps, ladybugs and other insects sometimes affect rental units. We are in the Great Smoky Mountains and sometimes we have unwanted little guests that might decide to visit you and your family.

 

CHECK OUT POLICY  When you are ready to leave, please put the dirty/used linens in the bathtub or shower. Make sure all the trash is gathered and put into the outside receptacles if available. Do not leave any unwashed dishes or pots in the sink or dishwasher. Make sure all windows and doors are locked. If you moved any furniture, then you must move it back where it was. If you disconnected our TV cables to play games, then you must connected the TV and cable cords back.
